Responsibilities Full time, day shift, Saint Joseph Main Hospital, Access Center Qualifications JOB SUMMARY / PURPOSE The Communication Specialist Saint Joseph Hospital and Saint Joseph East: is responsible for routing facility telephone requests to the appropriate area or department. This position also requires paging, overhead announcements and meeting the communication needs of the entire facility. This position greets the public and provides information and directions in a manner consistent with the Core Values of CHI Saint Joseph Health. Displays a positive image by demonstrating courteous and professional behavior toward patients, families, physicians, and staff. Initiates emergency situations and notification of after hours on call staff to support multiple departments. The Staffing Coordinator for the CHI Saint Joseph Health Staffing Center: will work with minimal supervision and is responsible for scheduling and deployment of contingency staffing to meet the patient care needs. The Coordinator will proactively identify staffing vacancies and work to identify a resolution. The Coordinator will be responsible for collecting data and running reports in the schedule software. Prepare data for management to present to stakeholders. The Coordinator is also responsible for time and attendance, ensuring proper pay practices is followed as defined per policy. This position will coordinate schedules for multiple facilities and act as the representative for designated routine matters. She/he must be able to function independently, organize, prioritize, work well under pressure and deal effectively with all levels within and outside of the organization. The Logistics Specialist staff member: will work with minimal supervision and is responsible for coordinating transfers, direct admissions, bed assignments and throughput in all CHI Saint Joseph Health Inpatient facilities. The Logistic Specialist will proactively identify and manage throughput barriers and implement a resolution strategy. The Logistic Specialist will collect and prepare needed data for the Access Center department and Management Stakeholders. She/he will deploy Clinicians to evaluate patients within eligible facilities. Must coordinate and prioritize routine patient needs and emergent patient transfers/placement. Will work with House Managers and Staffing Coordinators to guide contingency staff to areas with increased placement demand. This position must be able to function independently, organize, prioritize, work well under pressure, and deal effectively within all levels within and outside of the organization; including, but not exclusive to Physicians, Providers, and referring facilities. The Logistics Specialist / Language Services: is responsible for facilitating and dispatching calls/computer requests for Language Services. This staff member will schedule all emergent and non-emergent cases 24/7/365 based on current standard work and protocol. ESSENTIAL KEY JOB RESPONSIBILITIES COMMUNICATION SPECIALIST: POSSESSES STRONG COMMUNICATION SKILLS AND CONFLICT RESOLUTION SKILLS POSSESSES ABILITY TO ESTABLISH STRONG RELATIONSHIPS WITH PHYSICIANS, STAFF, AND PEERS POSSESSES ABILITY TO WORK INDEPENDENTLY Maintains a professional and courteous demeanor with all calls MAINTAINS CONFIDENTIALITY OF PATIENT INFORMATION. DEMONSTRATES AN APPRECIATION OF THE CHI SAINT JOSEPH HEALTH MISSION AND VALUES Facilitates management of Telephone traffic Demonstrates knowledge on facility beeper system including service and programming Demonstrates the ability to utilize overhead paging system and beeper system Greets the public and provides information and directions is a courteous and professional manner Provides after hour call support to multiple departments throughout organizations. Ensures continuous operation of communication equipment Initiates emergency procedures in conjunction with hospital protocol for switchboard operations Demonstrates knowledge and understanding of emergency situation codes Demonstrates the ability to document according to direction on various required forms Performs other duties as assigned Validates current census and staffing adjustment with clinical contacts utilizing staffing software Reviews house-wide staffing and prepares tentative staffing for clinical contact to review and approve Performs day-of and proactive recruitment calls to all core and contingent clinical staff. Follows escalation procedures for day-of staffing issues or critical staffing need situations Accepts all staffing absence calls with real-time data entry into the scheduling system Review final schedules and provide recommendation to managers and schedulers Reports to Market Director and hospital leadership on effectiveness of schedule creation and status of upcoming staffing challenges Follow up where appropriate to ensure resolution of staffing challenges to hospital leadership as applicable Run routine reports in order to identify gaps in staffing and ensure staffing best practices Maintains confidentiality of information in the department according to Kentucky One Health Policies Demonstrates a commitment to a high level of professional and ethical standards in his/her daily activities, consistent with the Kentucky One Code of Conduct standards Performs other duties as assigned Logistic Specialist: VALIDATES ACCURACY OF STAFFED BEDS, PATIENT REQUESTS, AND ENTERED DATA IN ALL APPLICATIONS WITHIN TRANSFER CENTER AND CAPACITY MANAGEMENT SUITE OF TELE TRACKING. FOLLOWS ESCALATION PROCEDURES FOR DAY-OF PLACEMENT ISSUES OR CRITICAL PLACEMENT NEEDS, AS WELL AS DELAYS OF PHYSICIAN RESPONSE AND ACCEPTANCE. REVIEWS PLANNED ADMISSIONS/PLACEMENTS WITH FACILITY LEADERS AND STATUS OF UPCOMING CHALLENGES. REPORT TO LEADERSHIP ON EFFECTIVENESS, USE, AND COMPLIANCE OF THROUGHPUT SOFTWARE. Performs transfer in accordance with applicable laws and regulations (EMTALA). Validate appropriateness of safe and timely transfers through screening and escalation. Communicate effectively and concisely with incoming patients, physicians, co-workers, and all clients that call the CHI Saint Joseph Health Access Center. Coordination and documentation of emergency transfers via air medical service, internally and externally MAINTAINS CONFIDENTIALITY OF PATIENT INFORMATION IN COMPLIANCE WITH HIPPA AND CHI SAINT JOSEPH HEALTH POLICIES. Scan/copy/produce protected health information as needed for safe and timely patient placement. Run routine reports to identify gaps in use and best practices of the systems. Must be able to navigate multiple computer programs, transcribe notes while providing exceptional customer care via the telephone, and have the capacity to learn other relevant systems and databases as needed. Facilitate nurse to nurse report for patients transferring to the CHI Saint Joseph Health system as needed. Demonstrates the ability to facilitate Language Services calls for urgent and non-urgent cases. Exceptional customer service and conversational skills is required. Excellent written and oral communication skills required. Knowledge of medical terminology and patient placement required. Must be able to problem-solve by identifying and resolving problems in a time manner, as well as develop alternative solutions when needed. Must have great flexibility and the ability to continually look for ways to make appropriate adjustments and changes - rather than identifying why things cannot be accomplished - in order to meet to the changing needs of CHI Saint Joseph Health and the Patient Experience Department. Ability to operate multi-line telephone system, computer, email, electronic equipment, calculator, copy machine/fax/scanner, office equipment. Ability to speak and communicate clearly. Perform on a daily basis: reading, writing, basic math, analyzing data, finding solutions, and working with confidential information. Ability to work under time pressure and at a rapid pace. Adequate conversational English is required in order that the individual be able to take direction from management, understand how to complete job tasks, communicate adequately with patients and co-workers as necessary, understand and follow safety guidelines, and organizational policies. Must have strong working knowledge Microsoft Office products, especially Word, Excel and PowerPoint. Must have the capacity to learn other relevant systems and databases, as needed. Must be able to navigate multiple computer programs and transcribe notes while providing exceptional customer care via the telephone, and assign patients appropriately. PREFERRED Qualifications Experience in Telecommunications preferred, Experience with Excel, Word and PowerPoint preferred, Experience running and understanding reports preferred.
