Job DescriptionD&Y is looking to add a Confirms Coordinator to our hard working and fun loving administrative support team! This position is based in the Huntsville, Alabama office supporting our sales teams and their mission of placing medical providers on short term staffing assignments nationwide. JOB DESCRIPTION OVERVIEW:

To prepare client and provider confirmations per job assignment and maintain company records of client and provider contracts; to communicate confirmations to client and provider via appropriate means and obtain returned signed confirmation document from each in a timely manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Prepare client and provider confirmations per assigned job and contract specifications as requested by sales personnel through CRM for scheduled assignments.
  • Send confirmations and provider contracts via Adobe Sign or other appropriate means (fax, email, etc.) to clients and providers in a timely manner (within 24-48 hours of receipt of request).
  • Obtain provider signed and client signed confirmation document in a timely manner for each confirmation document executed.
  • Daily attach signed documents from provider and client under documents tab on the provider confirm record in CRM.
  • Daily maintenance of Adobe Sign account to include saving unsigned versions of provider and client confirms in CRM when signed documents were not received back and then deleting those records from Adobe Sign.
  • Send Provider Agreement, W-9 form, direct deposit set up form and accounting memo for new providers per task request received from Sales.
  • Follow up on all outstanding confirmations needing a client's signature up to three times before contacting sales management for resolution.
  • Research and provide needed signed confirmation documents to the Accounting department as requested for billing purposes.
  • Perform special projects and other duties as directed by management.




    Job RequirementsQUALIFICATIONS / EXPERIENCE:

    • High School education or equivalent (GED) required; some college desired.
    • Two or more years of experience in an office environment performing administrative based tasks with a high level of service and quality of work in a fast paced environment.
    • Must possess proficient typing and data entry skills.
    • Must possess intermediate level of computer skills with experience in Microsoft Word, Outlook, and Excel and an ability to learn new computer applications as needed.
    • Must possess an attention to detail and perform work tasks with a high level of accuracy.
    • Must be able to demonstrate flexibility working in a team environment.
    • Must possess good verbal communication skills and the ability to communicate with internal and external customers.

      PHYSICAL / ENVIRONMENTAL DEMANDS:

      • Job is performed in a well-lighted, climate controlled modern office setting or an approved home setting.
      • Minimum bending and standing.
      • Prolonged sitting at a workstation using a computer.
      • Low to moderate level of stress.
      • Moderate level of phone usage.
      • This position may require manual dexterity and/or frequent use of the computer, telephone, 10-key, calculator, office machines (copier, scanner, fax) and/or the ability to perform repetitive motions and/or meet production standards to comply with the essential functions. Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or more than five days per week.
